How Nestoo builds and runs your office, stage by stage

Nestoo Worksphere sets up your office in four phases: find, design, build and manage. You make the decisions and we do the work, from finding a building in the Bengaluru locality you choose to running the office. Building starts only after you sign the agreement and approve the layout.

Phase 1

Find: your requirements, a shortlist and a proposal

We turn what your team needs into a shortlist of buildings, then a proposal for the one you choose.

Stage 1: your requirements

It starts with a conversation about your team, not a brochure of centres.

We do

  • Talk through your requirements with you
  • Help you work out how many cabins and meeting rooms you need
  • Help you choose between our two offices:

What to prepare

  • Headcount now, and in 12–24 months (how much space you need)
  • Preferred localities, or where most of your team lives (choosing a location)
  • Workstations, cabins, meeting rooms and any special rooms
  • Must-haves, such as 24x7 access, your branding, or car and two-wheeler parking (subject to the building’s parking allocation)
  • An approximate monthly budget, if you have one
  • Your move-in date, and any date you must move by

Stage 2: the shortlist

We search your localities and come back with a shortlist of buildings that can hold your office.

We do

  • Look for buildings in your preferred localities
  • Share the shortlist and the trade-offs of each option

You do

  • Tell us what works in each option, and what doesn’t
  • Tell us who needs to approve the choice
  • Before you choose, ask for the building’s approvals in writing and take professional advice where needed: what to check in any building

Stage 3: proposal and agreement

We prepare a proposal for the building and office you choose, and you sign only when you’re happy with it.

We do

  • Prepare your proposal: the space and how it will be planned, the fee and what it covers, the terms and a timeline
  • Revise it with you

You do

  • Review it with whoever signs for your company
  • Ask us about anything that isn’t clear
  • Sign the agreement when you’re happy

Phase 2

Design: a layout planned around your team

We draw the layout from how your team works, and you sign it off before building starts.

Stage 4: your layout

For a shared office we plan your team’s own office; for an entire office, every room.

We do

  • Prepare a layout plan
  • Plan workstations, cabins and meeting rooms
  • Plan power, network points and air conditioning around the layout
  • Build in your branding and any rooms you’ve asked for
  • Revise the layout with you

You do

  • Tell us how your teams work and who sits together
  • Tell us who needs a cabin, and what your IT needs are
  • Share your brand guidelines, if you’d like your branding in the office
  • Sign off the final layout before building starts

Phase 3

Build: fit-out, then handover

We manage the fit-out on site, then walk you through the finished office before your team moves in.

Stage 5: fit-out

Interiors, electrical work, air conditioning, network cabling and furniture: we coordinate the contractors so you don’t have to.

We do

  • Coordinate the contractors and manage the work on site
  • Coordinate with building management
  • Check quality as the work goes on
  • Keep you updated

You do

  • Name one person who can make quick decisions
  • Raise changes early, because late changes can affect time and cost
  • Tell us about equipment you’ll bring, such as servers

Stage 6: move-in and handover

Before your team arrives, we walk through the finished office with you and put right any snags.

We do

  • Walk through the finished office with you
  • Put right any snags
  • Set up access control and internet for your team
  • Introduce your point of contact and show you how to raise requests

You do

  • Send us the list of people who need access
  • Confirm your move-in date
  • Do a final walk-through and sign off

Phase 4 · How we run your office

How do we run your office after you move in?

Nestoo runs your office day to day, so your team deals with us for its upkeep, not with a list of separate vendors. In a shared office, that includes the shared areas.

Stage 7: running your office

Nestoo handles

  • Housekeeping and daily upkeep
  • Security and access control
  • Maintenance and repairs of the office and its furniture
  • Power backup and air conditioning
  • High-speed internet, and IT support for network and everyday issues
  • Upkeep of the pantry and cafeteria area
  • Coordination with building management and vendors
  • Parking, subject to the building’s parking allocation

You handle

  • Your team and your work
  • Telling us when something needs attention
  • Telling us early about changes in headcount
  • The monthly fee, as agreed

Set out in your proposal: office hours and after-hours access, how your team raises requests, and what your fee covers.

Everything that comes as standard

What decides how long your office takes?

How long your office takes depends mainly on its size, how ready the building is and how much is built specially for you.
