Managed office vs coworking vs lease: which suits your team in Bengaluru?
The routes compared on privacy, upfront cost, commitment and setup time, with a decision matrix.
The short answer
Coworking suits freelancers and very small or short-term teams that need desks on flexible terms. A traditional lease suits large, settled companies that want full control and can fund the deposit and fit-out, then run the office themselves. A managed office sits in between: a provider sets up and runs your team’s own office for a monthly fee. It can sit inside a shared office or be an entire office.

How do the options compare at a glance?
Coworking is the quickest to start and the most flexible, while a traditional lease gives the most control for the most upfront cash and effort. Managed offices sit in between: the more an office is built for you, the longer the setup and the commitment.
What you get, and who runs it
| Route | What you get | Privacy | Customisation | Who runs it |
|---|---|---|---|---|
| Coworking | Desks, and sometimes a small cabin, on a shared floor | Low: you work among other companies | Little: you take the space as it is | The provider |
| Ready managed suite | A furnished, lockable suite in a provider’s centre | Your own suite; reception, meeting rooms and pantry shared | Limited: the layout already exists | The provider |
| Custom-built shared office | A lockable office designed for your team, inside an office shared with other companies | Your own office; reception, meeting rooms and pantry shared | High inside your own office | The provider |
| Custom-built entire office | A whole office designed for one company | Full: every room is yours | High: layout, rooms and branding | The provider |
| Traditional lease | Bare-shell or warm-shell space from the building owner | Full | Full, within the landlord’s approvals, at your own cost | You, with your own vendors |
Providers use different names for these routes. A ready suite may be sold as a serviced office or a private office, and an office built for one company as a managed office or a dedicated floor. What the terms mean maps the names.
Money, commitment and time
Market data, not Nestoo prices, terms or timelines. Sources: myHQ listings, Colliers, press reports of three leases, Smartworks, WorkEZ, Table Space, Brigade Group and CBRE (2024–2026).
| Route | Upfront cost | Typical commitment | Setup time |
|---|---|---|---|
| Coworking | Low: there is no fit-out to pay for | Short and flexible | Immediate, where desks are available |
| Ready managed suite | A deposit; the fit-out already exists | 12 months on most myHQ listings | Within days to about two weeks |
| Custom-built office, shared or entire | A deposit; the provider usually pays for the fit-out | 24 months or more on almost all myHQ warm-shell listings | 30–120 days in operators’ published claims |
| Traditional lease | A deposit (about six months’ rent in three large 2026 leases), plus your own fit-out | 5–9 years, with a lock-in | 20–30 weeks from the start of construction to move-in |
How to read the table:
- Commitment. We counted the lock-ins asked on the first page of myHQ’s listings for eight Bengaluru areas on 27 October 2026. Warm-shell space has to be fitted out before anyone moves in, so it stands in for an office built for you. The lease term is Colliers’ (2024 page), and how long lock-ins run has the full count.
- Setup time. These are providers’ own claims (Smartworks, WorkEZ, Table Space and Brigade Group, 2025–2026), and their clocks start at different points. The fastest custom builds are inside centres the operator already runs, so compare published setup times on the same basis. Colliers’ 20–30 weeks, a rough estimate for a Class A office of about 20,000 sq ft, starts once the space is leased and designed.
- Upfront cost. CBRE notes that the operator usually invests the capital to build a flexible office (June 2025). The lease deposits are our calculation from the reported figures. Managed offices have no reliable published deposit norm: see what deposits look like.
What is coworking, and who is it for?
Coworking is a shared workspace where you pay for desks rather than an office, among people from other companies. It suits freelancers, very small teams and projects that need space for a few months.
Providers sell hot desks (any open seat on the day), dedicated desks (the same seat every day), day passes and small lockable cabins. You can start quickly and commit for short periods. The trade-offs are privacy and control: you can’t change the layout, your brand is barely visible and calls can be overheard. Because you pay by the desk, the bill rises with every hire, which is one sign that it may be time to move out of coworking.
What is a traditional lease, and who is it for?
A traditional lease is a direct agreement with a building owner for a floor, or part of one, that you fit out and run yourself. It suits large, stable teams with capital to spend upfront and people to run the office.
The space comes as a bare shell, little more than the structure and shared core, or a warm shell with basics such as flooring, ceilings and air conditioning. You arrange the rest: the fit-out (office interiors), furniture and IT, plus vendors for housekeeping, security and maintenance. The building’s maintenance charges (CAM), electricity and other running costs come on top of the rent.
Market data for conventional leases, not Nestoo terms. Sources: Colliers (2024 page); Business Standard and NoBroker Times (August–October 2026).
Colliers’ occupier guide for Bangalore gives a typical lease term of 5–9 years. As a general rule, it says, a three-year lease carries a one-year lock-in and a five-year lease a three-year lock-in. A tenant who leaves inside the lock-in pays the rent for the rest of it.
Three large tech-park leases reported in 2026 show the cash involved: IBM and Infineon at Bagmane Solarium City, and Booking Holdings at RMZ Ecoworld. Each carries a security deposit, often called an advance, of about six months’ rent, by our calculation from the reported deposits and rents. All three raise the rent by 15% every three years; how escalation works compares this with yearly increases.
IBM also pays a separate fit-out rent for five years, about 1.2 times its base rent on the reported figures. Its interiors are paid for monthly rather than upfront, but they are still paid for.
Where does a managed office sit between coworking and a lease?
A managed office gives you your own office, as a lease does, but a provider fits it out and runs it for a monthly fee. CBRE’s June 2025 sector report says enterprises chose managed offices to avoid upfront fit-out spending and hand design, build and management to one vendor.
- Your office
- Shared
- Other companies
- Your office: all of it
Illustration only. Your layout is planned around your requirements and the building we find.
In a shared managed office, your own office is lockable, while reception, meeting rooms and the pantry are shared; in an entire office, every room is yours. What a managed office is, in full gives the definition, and the main types shows how ready-made and built-to-order offices differ.
Not sure which fits?
Which option fits your team size and time horizon?
Team size and time horizon decide most of it: short horizons favour ready space, and large, settled teams an entire office or a lease. This is our view, not a rule.
Find your team size, then how long you expect to stay. An office built for you makes sense only if you can stay for the term the provider needs to recover the fit-out. If you may leave sooner, use the answer for the next shorter period.
| Team size | Under 12 months | 1–3 years | 3 years or more |
|---|---|---|---|
| 1–5 people | Coworking: short terms, nothing built for you | Coworking, or a ready suite once calls need a closed door | A ready suite: your own lockable office, already furnished |
| 6–20 people | Coworking cabins or a ready suite: no build to wait for | A ready suite, or a custom-built shared office for longer stays | A custom-built shared office for your own layout, or a ready suite for a smaller team |
| 21–60 people | A ready suite: a build needs a longer term | A custom-built shared or entire office, depending on privacy and branding | A custom-built entire office; compare a lease if you have capital and facilities staff |
| 61–150 people | A ready suite or floor, where one is available | A custom-built entire office: the fit-out is spread over the term | A custom-built entire office, or a lease if you have capital and a facilities team |
| More than 150 people | A ready floor in a provider’s centre, where one is available | A custom-built entire office: your own fit-out would have little time to pay back | A lease with your own fit-out if you run facilities in-house; otherwise a custom-built entire office |
Three things can move you a cell:
- Confidentiality. If clients audit your premises or you handle sensitive data, lean towards an entire office or a lease.
- Cash and runway. If cash is tight or a funding round could slip, avoid paying for a fit-out upfront, and keep the commitment within your runway.
- Fast growth. If headcount could double, size the office for your 12–24-month plan, and ask how expansion is handled before anything is built.
Very large, long-term occupiers have one more route: a whole building that a developer constructs for them. That is also called built to suit, so read the two meanings of built to suit before you compare offers.
What do deposits, lock-ins, fit-out costs and setup times look like in Bengaluru?
Offices fitted out for one client ask for longer lock-ins than ready space, and a conventional lease runs longest of all. A lease also needs the most cash upfront, because you pay both the deposit and the fit-out.
Market data, not Nestoo terms. Source: myHQ listings, checked 27 October 2026.
On myHQ’s Bengaluru listings on 27 October 2026, 75 of 91 ready offices asked for a 12-month lock-in, and 25 of 26 warm-shell spaces for 24 months or more.
Our guide to lock-in, deposit and exit has the detail, with sources:
- How long lock-ins run, by type of space and size of client.
- What deposits look like, and the three things to get in writing.
Fit-out costs and setup times vary with scope and specification, so ask any provider what its figures include and when its clock starts.
How should you compare a managed fee with a lease?
Compare the total cost of each route over the same term, for the same area and headcount, not the monthly fee with the rent. A managed fee also covers the fit-out, the running costs and the provider’s margin, while a lease leaves the fit-out and running costs to you.
Market data, not Nestoo prices. Sources: IndiQube (August 2026), Smartworks (April 2026), CBRE (June 2025).
That is why listed operators’ revenue runs at roughly twice the rent they pay. IndiQube’s investor presentation for the quarter to June 2026 gives a revenue-to-rent ratio of 2.21 across its portfolio. Smartworks says it prices to earn rental revenue of at least twice its rental expenses (results to March 2026).
CBRE’s model of a typical managed office assumes a multiple of 1.9–2.5 (June 2025). In that model, the revenue above the rent pays for the fit-out, the building’s maintenance charges, other running costs and the operator’s margin. These ratios describe operators’ businesses; they are not a way to work out the price of any office, ours included.
Where each cost sits:
| Cost line | Your own lease | A managed office |
|---|---|---|
| Rent or fee, and increases | Rent on the chargeable area, plus escalation | The monthly fee, plus escalation |
| Maintenance charges (CAM) and electricity | Billed on top of rent, with backup power | Inside the fee, or metered or capped: ask which |
| Fit-out, furniture and IT | Paid by you upfront, or as a separate fit-out rent | Recovered through the fee: ask who owns them at the end |
| Housekeeping, security, repairs and internet | Your own vendors, staff and contracts | Part of the service: get the list in writing |
| Deposit | The return the cash could have earned | The return the cash could have earned |
| Your team’s time | Managing vendors, repairs and the landlord | Raising issues with the provider |
| Leaving early | Rent for the rest of the lock-in, plus restoring the space if the lease requires it | The early-exit charge, and any restoration |
| GST | Charged on rent and maintenance charges | Charged on the fee |
Total-cost worksheet: five rules before you compare
- Use the same term, headcount and area basis on both sides, because carpet, built-up and super built-up areas differ.
- Get every line in the table above in writing, from the landlord and from each provider.
- Count the deposit’s lost return, not the deposit itself, because the deposit comes back, less any agreed deductions. At an assumed return of 8% a year, each month’s rent held as a deposit for five years costs about 0.4 months’ rent (8% × 5, before compounding).
- Count the fit-out in full, whether you pay for it upfront or as a fit-out rent, because it doesn’t come back.
- Compare totals year by year, including what leaving in year one or two would cost.
What often sits outside a fee lists the common extras. How GST applies covers tax and input tax credit; check the details for your company with your chartered accountant.
Is managed and flexible office space mainstream in Bengaluru?
Yes: flexible and managed offices are now a mainstream choice in Bengaluru. Cushman & Wakefield ranks it India’s largest flexible-office market by seats leased, and flex operators take a sizeable share of its office leasing.
Market data, not Nestoo figures. Sources: Cushman & Wakefield (Q3 2026 and H1 2026), JLL (Q2 2026).
| Measure | Figure | Source and period |
|---|---|---|
| Flex operators’ share of Grade A gross leasing | 14% | Cushman & Wakefield, January–September 2026 |
| Flex operators’ share of Grade A leasing in one quarter | 26% | JLL, Q2 2026 |
| Flexible-office seats leased in Bengaluru | 57,487, up 31.8% on a year earlier: 30% of the top eight cities’ total | Cushman & Wakefield, H1 2026 |
The two leasing shares cover different periods, and each firm counts deals and area its own way. Quarterly shares also swing: Cushman & Wakefield’s figure for Q3 2026 alone was 6%.
Ramita Arora, who heads flex for Cushman & Wakefield in India, said in August 2026 that flex and managed offices are “becoming an integral part of long-term workplace planning”.
What are the downsides of a managed office?
You pay for the service, leaving early costs money, and you have less direct control than with your own lease. In a shared office, the common areas are shared too.
- You pay for the service. The fee covers the provider’s running costs and margin, so over many years a large, stable team with its own facilities staff may pay less with a lease.
- Leaving early can be costly. The provider recovers the fit-out over the term, so leaving early can mean paying for the rest of the lock-in or the part of the fit-out not yet recovered. Ask for a worked exit cost for each year.
- Less direct control. The provider deals with the landlord and the vendors, so the standard of service depends on it. Agree in writing how issues are raised and handled.
- Shared areas are shared. In a shared office, ask how meeting rooms are booked and how busy reception and the pantry get.
- Your office depends on the provider’s lease. The provider usually leases the building from its owner, so ask who holds the lease, and what happens if the building is sold.
Where does Nestoo fit?
Nestoo Worksphere builds and runs managed offices in Bengaluru, in the two custom-built forms above, so we have a stake in this choice. We don’t offer coworking, desks or day passes.
- Managed Office Space, your own lockable office inside a shared, managed office: the custom-built shared office in the tables above.
- Private Office Space, an entire office for your company alone: the custom-built entire office.
Both are managed offices. We have no fixed centres. For each client, we find a building in the locality the team chooses, anywhere in Bengaluru. We then design and fit out the office around the team, and run it day to day.
Our offices are for teams of about 16 people or more. Every office is quoted individually, and any deposit, the term and how the fit-out is paid for are set out in your proposal.
How built-to-suit works explains the method, and you can compare the two offices side by side. If you’re a freelancer, a coworking space will serve you better.

Frequently asked questions
Is a traditional lease cheaper than a managed office in the long run?
Sometimes: a large company with a stable headcount, capital for the fit-out and its own facilities team can pay less over many years with a lease. But rent and a managed fee are not like for like. Before deciding, add to the lease side the fit-out, furniture and IT, maintenance charges, utilities, vendor contracts, rent increases, the deposit’s lost return and your team’s time. Then compare totals over the same term.
When is it time for a team to move out of coworking?
Common signs: people regularly hunt for a room for confidential calls, and you can no longer seat the whole team together. You may also want clients and candidates to see a space that reflects your company, or need control over security, IT and the layout. A per-desk bill that rises with every hire is another sign. At that point, compare a ready managed suite, an office built for your team inside a shared office, and an entire office.
Is coworking cheaper than a managed office for a five-person team?
Usually, over a short horizon: coworking prices desks, lets you commit for short periods and builds nothing for you, so there is no fit-out to pay back. Look again as the team grows and plans to stay. The coworking bill rises with every desk, while an office of your own spreads its setup cost over the term and gives you a door you can close. Compare totals for your expected stay, not monthly prices.
