What is a managed office? Meaning, types and how the terms differ in India
A plain definition, the main types, a terminology table, what a fee usually includes, and a glossary.
The short answer
A managed office is an office that a provider fits out and runs for one company, in return for a monthly fee. Some providers, Nestoo Worksphere among them, also find the building. In India the term is also used for a private, lockable office inside a provider’s shared centre. Check what’s yours and what’s shared before you compare.

What does “managed office” mean?
A managed office is an office that a provider plans, fits out and runs for a single company. The company pays a monthly fee and leaves the building work and the running of the office to the provider.
Providers in India and the UK define it in much the same words:
- Avanta, an Indian operator (September 2026): “a provider plans, fits out and runs an office for one business”.
- Table Space, an Indian operator (September 2026): “a private office built to one client’s specification and run end to end by the provider”.
- Orega, a UK operator (July 2026): “a bespoke, self-contained office space customised to a single tenant’s requirements but fully operated and maintained by a professional workspace provider”.
All three agree on the essentials: one company, an office fitted out for it, and a provider that runs it. This guide uses that meaning.
In India the term has a second, looser use. Listing sites and some operators apply it to a ready-made office inside a provider’s shared centre, priced per seat. myHQ’s Bengaluru listings and BuzzWorks’ Bengaluru centres both use it this way (checked 27 October 2026). myHQ’s own FAQ notes that serviced and managed offices “get used interchangeably a lot”. So ask two things of any “managed office”: whether it is built for you, and what you share.
Both of Nestoo Worksphere’s offices are managed offices. Managed Office Space is the shared one: your own lockable office inside a shared, managed office. Private Office Space is an entire office for your company alone.
Who does what in a managed office
| Task | The provider | Your company |
|---|---|---|
| Finding the building | Some find one for you; others offer space in a building they already run | Says where the team needs to be |
| Design and fit-out | Plans and builds the office | Sets the requirements and signs off the layout |
| Furniture, IT and services | Supplies them and keeps them working | Brings its own laptops and equipment |
| Running the office | Housekeeping, security and maintenance; deals with vendors and the building owner | Raises requests and runs its own team |
| Paying | Pays the building owner and suppliers | Pays the fee set in its agreement |
WeWork India and Table Space, for example, both find buildings for their enterprise clients. How a managed office compares with coworking and with leasing an office yourself is covered in managed office vs coworking vs lease.
What kinds of managed office are there?
Two questions sort every managed office into one of four types. One is whether you share the office with other companies, and the other is whether it is ready-made or built for you.
| How it is made | Shared: your own office, common areas shared | Entire: every room is yours |
|---|---|---|
| Ready-made | A furnished office or suite in a provider’s centre, with reception, meeting rooms and pantry shared. Often called a serviced office, a suite or a private office | A floor or wing a provider has already fitted out, which one company takes whole |
| Built to order | An office designed for your team inside an office shared with other companies. Sometimes called a customised office. At Nestoo: Managed Office Space | An entire office designed and fitted out for one company. Often called a managed office, a custom-built office or a dedicated floor. At Nestoo: Private Office Space |
- Your office
- Shared
- Other companies
- Your office: all of it
Illustration only. Your layout is planned around your requirements and the building we find.
- The row decides time and commitment. A ready-made office is quick to move into, but its layout is largely set. An office built to order needs a design and build period. It usually carries a longer minimum term too, because a provider that pays for the fit-out recovers it through the fee: see why custom-built offices come with longer terms.
- The column decides privacy, and which rooms are yours. In a shared office you lock your own office and book the shared rooms. In an entire office every room is yours, so the office has to hold all of them.
Nestoo builds only in the bottom row. Every office is designed and fitted out for the client who will use it, inside an existing building in the locality the client chooses: how built-to-suit works.
Reading a listing: three made-up descriptions, placed on the grid. Illustration, not real listings.
| What the listing says | Where it sits | What to ask |
|---|---|---|
| Managed office in a Grade A tech park, fully furnished, priced per seat, minimum team size applies | Ready-made and shared: a suite in the operator’s centre | What is shared, and what the per-seat price covers |
| We find the building, design and build your office, and run it | Built to order: shared or entire, depending on who else uses the office | Who pays for the fit-out, over what term, and who owns it at the end |
| Private office for your team in our coworking space | Ready-made and shared: a cabin in a coworking centre | Whether it locks, and how the shared rooms are booked |
Managed, serviced, private office or coworking: what do the terms mean in India?
In India a serviced office is a ready, furnished office in a provider’s shared centre. A managed office is usually built and run for one company.
Coworking means desks in a shared space, and listing sites blur all three more than UK providers do. This table maps each term to its usual meaning and to the closest Nestoo office.
| Term | Usual meaning in India | UK usage | Closest Nestoo office | Used this way by |
|---|---|---|---|---|
| Managed office | An office a provider builds and runs for one company. On listing sites, also a ready office in a shared centre, priced per seat | An office for one company, fitted out to its needs and run by the provider | Private Office Space. Both Nestoo offices are managed offices | WeWork India, Table Space, Avanta; myHQ and BuzzWorks (looser sense); Orega, Hubble (UK) |
| Serviced office | A ready, furnished office in a provider’s centre, with reception, meeting rooms and pantry shared | The same, usually on short terms, with one monthly fee for the services | Managed Office Space, but built to order | Table Space, Avanta, myHQ; Orega, Hubble (UK) |
| Private office | A lockable office or cabin for one team in a coworking or serviced centre | The same: a team’s own room in a provider’s centre | Managed Office Space comes closest. Our Private Office Space is an entire office, not a cabin | WeWork India, myHQ; Hubble (UK) |
| Suite | A larger private office of several rooms for one team, in a provider’s centre | The same; also called an executive suite | Managed Office Space, built to order | Table Space, WeWork India; Hubble (UK); Industrious (US) |
| Coworking | Desks in a shared, open workspace, paid for by the desk, day or month | The same | None: Nestoo doesn’t offer coworking | Avanta, myHQ; Orega (UK) |
| Hot desk, dedicated desk | A hot desk is any open seat on the day; a dedicated desk is the same seat every day, both in coworking | The same | None: Nestoo doesn’t sell desks or day passes | Avanta, myHQ |
| Fully furnished | Furniture in place on handover. What it covers varies, and some providers charge for extras | Serviced offices come furnished as standard | Both: furniture is standard in every Nestoo office | myHQ, Cove Offices; Hubble (UK) |
Two more terms are explained in full on our built-to-suit page:
- Plug-and-play, or ready to move on handover: an office already fitted out and furnished, which you move into as it is. Plug-and-play or custom-built compares the two routes.
- Built to suit, or custom-built: an office designed and fitted out for one company inside an existing building, as every Nestoo office is. A built-to-suit building is different: a whole building a developer constructs for one occupier. The two meanings of built-to-suit sets them side by side.
Whatever the label, three answers place any office:
- Whether it is built for you or ready-made.
- What you share, and with whom.
- What the fee covers, and what it doesn’t (what a fee usually includes).
Avanta gives the same advice: “Providers use these terms differently, so compare what each agreement includes rather than the label” (September 2026).
Deciding between a shared and an entire office?
What does a managed office fee usually include, and what costs extra?
A managed office fee usually covers the fit-out, the furniture and the running of the office. Each provider draws the line in a different place.
Ask for a written list of what the fee covers and what is charged separately, with rates.
Operators such as Table Space and Orega describe what their fees cover. Pre-signing checklists from Vestian, a real estate adviser (May 2026), and from two operators, Cove Offices (January 2026) and BuzzWorks (2025), list what often sits outside. The table sums up that market practice; it does not describe Nestoo’s terms.
| What | Usually covered by the fee | Often charged separately |
|---|---|---|
| Building the office | Design, fit-out and furniture, paid back through the fee over the term | Changes after the layout is signed off; custom branding work |
| Running the office | Housekeeping, security, maintenance and repairs, and the building’s maintenance charges (CAM) | Air conditioning after hours and at weekends |
| Power and utilities | Electricity, water and power backup, sometimes up to a usage cap | Use above the cap, billed back |
| Internet and IT | Wi-Fi, a baseline connection and routine IT support | Extra bandwidth; IT hardware beyond the baseline |
| Meeting rooms | A booking allowance, where the rooms are shared | Use beyond the allowance |
| Parking | Any slots agreed in the contract, subject to the building’s parking allocation | Extra slots |
| Everything else | Depends on the provider | Printing, a server room or dedicated power, one-time setup costs and early-exit charges |
This split is where “hidden charges” come from: items outside the headline fee that nobody listed in writing. Vestian’s checklist warns that what counts as included “varies a lot between operators”, so get the specifics.
Who pays for the build varies too. WeWork India, for example, offers its managed offices under “flexible investment models”: “fully managed by WeWork India, client-funded, or structured through hybrid investment models”. So ask who pays for the fit-out, and who owns it at the end of the term.
A conventional lease is the opposite case. Colliers’ occupier guide for Bangalore (2024 page) says quoted rent typically excludes operating costs: electricity, security, water, housekeeping, consumables and CAM, all paid on top.
Fees are quoted per seat or per sq ft, and an area figure may be carpet, built-up or super built-up area. Check the basis before you compare: carpet vs super built-up area. Ask, too, whether a quote includes GST: how GST applies covers input tax credit.
Nestoo quotes every office individually, and your proposal sets out what your fee covers and anything added on request. What comes as standard at Nestoo lists the standard amenities, and how Nestoo quotes explains the rest. The full proposal checklist works on any provider’s quote, ours included.
Who uses managed offices?
Managed offices suit companies that want an office of their own without building or running it themselves. Three situations fit them well:
- Teams that want their own office, not desks. A growing team may need closed doors for calls and a layout of its own, but has no facilities staff to run an office.
- Companies new to a city. Branch offices and the India teams of companies based abroad get a working office without hiring local contractors and vendors: see the office side of setting up a GCC.
- Teams whose headcount is still changing. A managed-office agreement usually runs for fewer years than a conventional lease, and expansion terms can be agreed at the start: see how long lock-ins run.
A freelancer, or anyone who needs a single desk, is better served by coworking. Which route suits your team maps the options by team size and time horizon.
Glossary: office terms you’ll meet in Bengaluru
These short definitions cover the words you’ll meet in Bengaluru office listings, proposals and agreements. Most link to the page that covers the term in full.
Advance (security deposit)
Money paid at the start of an agreement and returned at the end, less agreed deductions. See what deposits look like.
Bare shell
Space handed over as structure, outer walls and the building’s shared core, with no flooring, ceiling, internal air conditioning or lighting. The occupier’s fit-out adds the rest.
BCP (business continuity planning)
How a company keeps working through power cuts, network failures or floods, for example with backup power, two internet links or a second site. See what head office IT teams ask.
Built-up area
Carpet area plus the area taken up by walls. See how the three areas compare.
CAM (common area maintenance)
The monthly charge for running a building’s shared parts. Colliers lists common areas, housekeeping, common-area lighting, lift maintenance and the shared generator. See what a fee usually includes.
Carpet area
The floor area inside your office’s walls that you can furnish and use. Compare offers on this basis: see which area you are being quoted.
Cat A fit-out
A building owner’s base fit-out of an office floor: finished floors and ceilings, lighting, air-conditioning distribution and fire-safety systems, with no layout yet.
Cat B fit-out
The occupier’s own fit-out on top of Cat A: partitions, cabins, meeting rooms, pantry, furniture, IT and branding. In a managed office the provider builds it.
DG (diesel generator)
The standby generator that powers a building, or part of it, during power cuts. See what to check about power and internet.
Escalation
The agreed rise in rent or fee during the term: a fixed percentage each year, or a larger step every few years. See how escalation works.

Fit-out (office interiors)
The work that turns empty floor space into a working office: partitions, ceilings, flooring, lighting, cabling, air conditioning and furniture. See who pays for it in a managed office.
GBA (Greater Bengaluru Authority)
The apex civic body under the Greater Bengaluru Governance Act, 2024. Five city corporations under it replaced BBMP on 2 September 2025 (The Hindu), so older documents carry BBMP’s name.
GCC (global capability centre)
An India-based centre that a company headquartered abroad owns and runs to work for its group, also called a captive. See the office side of setting up a GCC.
Grade A
A label for the best-specified office buildings. It is a market convention, not an official certification, and research firms, developers and brokers each apply it their own way (NSL Infratech, October 2026). Ask whose definition a figure uses; see how Bengaluru’s districts compare.
ITC (input tax credit)
Credit for the GST a registered business pays on goods and services it uses in its business. It can set the credit off against the GST it owes, subject to the conditions in section 16 of the CGST Act. Ask your chartered accountant how it applies to your office; see how GST applies.
Khata
The municipal record of a property and its property-tax assessment. Ask a lawyer what it should show for an office building; see which building documents to ask for.
Leased line (ILL)
An internet leased line: a dedicated connection not shared with other customers, usually with equal upload and download speeds. See what to check about power and internet.
Loading
Your share of the building’s common areas, added to your carpet area and stated as a percentage of it. See how the three areas compare.
Lock-in
The minimum period you must pay for, even if you leave early. See how a lock-in differs from a notice period.
Notice period
How far ahead you must say you are leaving, once the lock-in allows it. Giving notice doesn’t shorten a lock-in.

The certificate the civic or planning authority issues once a building is completed in line with its sanctioned plan, allowing it to be occupied. See which building documents to ask for.
Plug-and-play
An office already fitted out and furnished, which you move into as it is. Listings also call it ready to move on handover, or fully furnished. See plug-and-play or custom-built.
POSH

Rent-free period
Months at the start of a lease when no rent is charged, often while the occupier fits out the space.
SEZ (special economic zone)
An area with its own tax, customs and approval rules under the Special Economic Zones Act, 2005. Using space in one comes with conditions, so take advice first.
Super built-up area
Carpet area plus walls and your share of common areas, also called chargeable or leasable area. Colliers notes that office rent in Bengaluru is charged on it; see how the three areas compare.
TDS (tax deducted at source)
Income tax that a payer deducts from payments such as rent or fees and pays to the government on the payee’s behalf (Income Tax Department). Ask your chartered accountant how it applies to your office fees.
UPS (uninterruptible power supply)
A battery system that keeps computers and network equipment running until the generator starts. See what to check about power and internet.
Warm shell
Space with the basics in place, such as flooring, painted walls, ceilings, air conditioning and electrical points, but no furniture or partitions. What is included varies, so ask for the handover specification.
Planning a managed office in Bengaluru?
Frequently asked questions
Why does Nestoo call its shared option “Managed Office Space”?
Because both of our offices are managed offices: we build each one around a client’s team, then run it. Managed Office Space is the shared one: your team has its own lockable office and shares the reception, meeting rooms and cafeteria with other companies. Many providers would call that a suite or a serviced office. Private Office Space is a whole office used only by your company, which many providers simply call a managed office. Whatever the label, ask what is yours and what is shared.
Do managed offices come furnished?
Usually, yes: furniture is part of what a managed office provides, and in an office built to order it is chosen for the team. But “fully furnished” has no fixed meaning. myHQ notes that the specification varies by operator, and Cove Offices’ Bangalore guide (January 2026) warns that many offices advertised that way charge extra. Ask for the list in writing, including whether phone booths, IT equipment and branding cost extra. Furniture is standard in every Nestoo office.
